Position Overview

The National Oceanographic and Maritime Institute (NOAMI), Dhaka is seeking a dedicated and organized Executive Director/ Research Assistant to join our team. This position combines administrative responsibilities with operational support for our research and training programs.


Key Responsibilities

1. Administrative and Office Management

The Research cum Office Assistant will be responsible for:

  • Managing correspondence, scheduling meetings, and maintaining records and accounts
  • Handling operational duties including office supplies management and vendor coordination
  • Providing general support to the Board of Governors (BOG) and staff
  • Assisting with banking, travel arrangements, event organization, and basic IT support

Event Support:

  • Assist with organizing internal and external events
  • Arrange refreshments and stationery

2. Specialized and Project-Specific Duties

New Employee Onboarding:

  • Assist with new trainees/researchers/employees onboarding
  • Manage attendance and maintain all types of records

Project Assistance:

  • Support project coordinators by managing daily work plans
  • Communicate with stakeholders
  • Assist with project documentation, submission, and endeavor to obtain sanctions
  • Note: Without getting projects or funding, NOAMI cannot operate, making this a primary task

3. Other Duties

  • Courier and Delivery: Collect and deliver letters, messages, and parcels internally and externally
  • Maintenance: Coordinate the repair and maintenance of office equipment and facilities
  • Supervisory Tasks: Perform any other tasks assigned by management or supervisor
  • Record Management: Assist Chairman, GS, and Treasurer and the board in maintaining official records.

Qualifications and Requirements

Educational Requirements:

  • Bachelor’s degree in any discipline from a recognized university
  • Master’s degree will be preferred

Experience:

  • Minimum 2-3 years of experience in administrative or office management roles
  • Experience in research institutions, NGOs, or similar organizations will be an advantage
  • Prior experience in project coordination or support is desirable

Skills and Competencies:

  • Excellent organizational and time management skills
  • Strong written and verbal communication skills in both English and Bangla
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Basic accounting and financial record-keeping knowledge
  • Ability to multitask and work under pressure
  • Strong attention to detail and accuracy
  • Good interpersonal skills and ability to work in a team
  • Problem-solving capabilities and proactive approach
  • Basic knowledge of office equipment operation
